At Alayn AI, we believe artificial intelligence should make businesses more informed, efficient and capable — not less human.
Alayn is designed to bring intelligence into everyday business operations, helping teams understand what is happening, identify what may require attention and make better-informed decisions.
This Responsible AI Policy explains the principles we apply to the development and use of artificial intelligence across Alayn.
This Policy should be read together with our Privacy Policy, Terms of Service and Security & Data Protection Policy.
1. ABOUT ALAYN
Alayn AI is a cloud-based, AI-powered business operating system designed for modern businesses, with an initial focus on hospitality.
Alayn may use artificial intelligence across areas including:
- business intelligence;
- sales analysis;
- demand forecasting;
- inventory intelligence;
- waste optimisation;
- workforce insights;
- operational recommendations;
- anomaly detection;
- reporting;
- workflow automation; and
- other decision-support functionality.

2. OUR APPROACH TO RESPONSIBLE AI
Alayn's approach to artificial intelligence is guided by a simple principle:
AI should augment human judgement, not replace it.
Our objective is to build AI that is:
- useful;
- transparent;
- secure;
- responsible;
- commercially practical;
- appropriately governed; and
- designed around real business needs.
We recognise that AI systems can produce inaccurate, incomplete or unexpected outputs.
Accordingly, Alayn is designed as a decision-support system, rather than a replacement for responsible human oversight.
3. HUMAN OVERSIGHT
Alayn's AI-powered features may provide recommendations, forecasts, alerts, summaries and insights.
These outputs are intended to assist users in making informed decisions.
The Customer remains responsible for deciding whether and how to act upon an AI-generated recommendation.
For example, Alayn may identify:
- an expected inventory shortage;
- an unusual sales pattern;
- a potential staffing gap;
- an increase in waste;
- a change in demand;
- an operational anomaly; or
- an opportunity for improved efficiency.
The system may recommend an action, but the Customer remains responsible for reviewing the information and deciding what action to take.
4. AI OUTPUTS ARE NOT GUARANTEED TO BE ACCURATE
Artificial intelligence systems can make mistakes.
AI-generated information may be:
- inaccurate;
- incomplete;
- outdated;
- based on incomplete data;
- incorrectly interpreted; or
- unsuitable for a particular business circumstance.
Accordingly, Alayn does not guarantee that every AI-generated output will be accurate or produce the expected business result.
Customers should exercise appropriate judgement when relying on AI-generated information.
Where a decision could materially affect:
- employees;
- customers;
- finances;
- legal compliance;
- health;
- safety; or
- other significant business interests,
appropriate human review should be undertaken before action is taken.
5. TRANSPARENCY
Where practical, Alayn aims to make it clear when a feature uses artificial intelligence or machine-learning technology.
AI-generated insights may be presented alongside relevant business information, indicators or supporting context to help users understand why a particular recommendation or alert has been generated.
The level of explanation may vary depending on the feature, underlying technology and technical limitations.
Alayn does not represent that every AI-generated output will be fully explainable in human-readable terms.
6. CUSTOMER DATA AND AI
Customers retain ownership of their underlying business data.
Alayn may process Customer Data through AI-powered functionality where necessary to provide a feature requested or enabled by the Customer.
For example, Alayn may analyse a Customer's:
- sales information;
- inventory information;
- operational information;
- workforce information;
- order information; or
- other business information
to generate relevant insights and recommendations.
Such processing is part of providing the Services.
7. AI MODEL TRAINING
Alayn does not use Customer Data to train general-purpose AI models without appropriate authorisation or consent where required.
Using Customer Data to provide an AI-powered feature does not, by itself, mean that the data is being used to train a general-purpose AI model.
Where a future Alayn feature involves a materially different use of Customer Data for AI development or model training, Alayn will provide appropriate information and, where required, obtain the necessary authorisation or consent.
8. ANONYMISED AND AGGREGATED INFORMATION
Alayn may use aggregated, anonymised or appropriately de-identified information for purposes including:
- improving the Services;
- analysing operational trends;
- understanding product performance;
- developing new features;
- improving AI functionality;
- conducting research;
- identifying general business patterns; and
- improving system performance.
Such information is intended to be used in a form that does not identify an individual or particular Customer, subject to applicable law.
9. DATA QUALITY
The quality of an AI-generated insight depends substantially on the quality and completeness of the information available to the system.
Customers are responsible for providing accurate and appropriately maintained information.
Incomplete, inaccurate, outdated or incorrectly configured information may result in:
- inaccurate forecasts;
- incorrect recommendations;
- misleading insights;
- incorrect alerts; or
- other unexpected outputs.
Alayn therefore encourages Customers to maintain accurate business and operational data.
10. FAIRNESS AND NON-DISCRIMINATION
Alayn aims to design and operate AI functionality in a manner that avoids unfair discrimination.
We seek to identify and reduce unreasonable bias where reasonably practicable.
However, AI systems can reflect limitations or biases present in:
- underlying data;
- statistical models;
- third-party technologies;
- business rules;
- user inputs; or
- other systems on which AI functionality depends.
Where an AI feature could materially influence decisions concerning individuals, appropriate human oversight should be maintained.
11. WORKFORCE AND EMPLOYMENT DECISIONS
Alayn may provide workforce-related insights or recommendations, including information relating to:
- staffing levels;
- scheduling;
- availability;
- demand;
- shift requirements; or
- operational workforce planning.
These features are intended to support workforce management.
Alayn does not make employment decisions on behalf of Customers.
Customers remain responsible for decisions concerning:
- recruitment;
- promotion;
- remuneration;
- disciplinary action;
- dismissal;
- working hours;
- leave;
- performance management; and
- other employment matters.
Customers must ensure that their use of AI-assisted workforce functionality complies with applicable employment and data protection laws.
12. CUSTOMER AND CONSUMER DECISIONS
Alayn may provide customer and sales insights that help businesses understand purchasing behaviour and operational patterns.
Customers remain responsible for determining how such insights are used.
AI-generated information should not be used in a manner that unlawfully discriminates against customers or individuals or otherwise violates applicable law.
13. FINANCIAL AND COMMERCIAL DECISIONS
Alayn may provide:
- sales forecasts;
- revenue insights;
- inventory recommendations;
- waste analysis;
- business performance indicators; and
- other commercial intelligence.
These outputs are intended to support business decision-making.
They are not financial, accounting, tax or investment advice.
Customers should independently verify material financial decisions and seek professional advice where appropriate.
14. AUTOMATION AND HUMAN CONTROL
Certain Alayn features may enable automated workflows or actions.
Where automation is available, Customers are responsible for configuring:
- permissions;
- rules;
- thresholds;
- approval requirements;
- user access; and
- other relevant settings.
Where appropriate, Alayn may provide controls allowing Customers to review, modify, approve or disable automated actions.
Customers should ensure that automation is appropriately configured for their business.
15. SECURITY OF AI SYSTEMS
Alayn applies reasonable technical and organisational measures designed to protect its AI-powered systems and the information processed through them.
Our security practices may include:
- access controls;
- authentication;
- monitoring;
- logging;
- secure development practices;
- infrastructure protections;
- vulnerability management; and
- incident-response procedures.

No technology can be guaranteed to be completely secure.
16. THIRD-PARTY AI TECHNOLOGIES
Certain Alayn features may rely upon third-party technologies, infrastructure or AI services.
Where third-party technologies are used, information may be processed by the relevant provider as necessary to provide the functionality.
Alayn seeks to assess relevant providers and maintain appropriate contractual and technical safeguards.
Third-party services remain subject to their applicable terms and policies.
Where material changes to third-party AI processing affect Customer Data, Alayn will take appropriate steps consistent with applicable contractual and legal requirements.
17. PRIVACY AND PERSONAL DATA
Alayn's processing of personal data is governed by our Privacy Policy and applicable data protection laws.
Where personal data is processed through an AI-powered feature, Alayn will process that information only for permitted purposes and in accordance with applicable requirements.
Customers remain responsible for ensuring that personal data submitted to Alayn can lawfully be processed for the relevant purpose.
18. SAFETY-CRITICAL DECISIONS
Alayn is not designed to replace qualified human judgement in safety-critical situations.
AI outputs should not be treated as the sole basis for decisions involving:
- food safety;
- physical safety;
- medical matters;
- emergency response;
- legal compliance;
- employment rights; or
- other matters requiring qualified professional judgement.
Customers remain responsible for maintaining appropriate human supervision and legally required procedures.
19. NO GUARANTEE OF BUSINESS OUTCOMES
Alayn is designed to help businesses operate more intelligently.
However, use of Alayn does not guarantee:
- increased revenue;
- reduced costs;
- reduced waste;
- improved staffing;
- increased profitability;
- improved customer satisfaction;
- improved forecasting accuracy; or
- any other specific commercial outcome.
Business performance depends on numerous factors outside Alayn's control.
20. RESPONSIBLE USE BY CUSTOMERS
Customers must use Alayn's AI functionality responsibly and lawfully.
Customers must not use Alayn to:
- discriminate unlawfully;
- make unlawful decisions concerning individuals;
- generate fraudulent information;
- facilitate illegal activity;
- circumvent regulatory obligations;
- violate privacy rights;
- misuse personal data;
- create harmful or deceptive content; or
- otherwise violate applicable law or the Alayn Terms of Service.
Alayn may restrict or suspend access where reasonably necessary to prevent serious misuse or unlawful activity.
21. AI GOVERNANCE AND CONTINUOUS IMPROVEMENT
Responsible AI is an ongoing process.
As Alayn's technology develops, we may introduce additional measures relating to:
- AI testing;
- model evaluation;
- monitoring;
- human oversight;
- transparency;
- security;
- privacy;
- bias assessment;
- risk management; and
- AI governance.
Our Responsible AI practices may therefore evolve as technology, industry standards and applicable laws develop.
22. REPORTING AN AI-RELATED CONCERN
We encourage Customers to report concerns regarding AI-generated outputs, unexpected behaviour, potential bias, privacy concerns or other responsible-AI issues.

23. CHANGES TO THIS POLICY
Alayn may update this Responsible AI Policy from time to time to reflect:
- new AI functionality;
- changes to our technology;
- improvements to our governance practices;
- changes in applicable law;
- emerging AI risks; or
- developments in responsible AI standards.
The latest version will display the applicable Last Updated date.
Material changes may be communicated through the Alayn website, platform, email or other appropriate channels.
